FutureCert ("FutureCert", "we", "us", "our") provides building certification services and software, including the FutureCert mobile inspection app used by our certifiers to carry out site inspections. This Privacy Policy explains what personal information we collect through our website, software and mobile app, how we use it, and your rights. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

Information we collect

Account information: your name, email address and login credentials when an account is created for you.

Inspection records: information you enter or capture during inspections, including notes, checklist responses, and project and site details.

Photos: images you capture using the app's camera during an inspection.

Audio and voice notes: audio recordings you make, and text transcripts generated from them. Voice-note transcription is performed on your device.

Location: if you enable location access, your location may be recorded to associate an inspection with a site.

Device and usage information: basic technical information such as device type and app version, used to operate and improve the service.

How we use your information

We use this information to:

• provide and operate the inspection app and the FutureCert platform;
• create, store and manage inspection records that support building certification, including Construction Certificates, Complying Development Certificates and Occupation Certificates;
• secure your account and verify access;
• maintain, troubleshoot and improve our services;
• meet our legal and regulatory obligations as a certifying body.

We do not sell your personal information.

Where your information is stored

Inspection records, photos and audio are stored on secure servers located in Australia. Data captured in the app is held on your device until it is synchronised to our secure storage.

Service providers

We use trusted third-party providers to deliver our services, including cloud hosting and, where applicable, processing services. These providers are bound to protect your information and to use it only to provide services to us. Where any processing occurs outside Australia, we take reasonable steps to ensure your information remains protected.

Data retention

We retain inspection records for as long as necessary to provide our services and to meet our legal, professional and regulatory record-keeping obligations, after which they are securely deleted or de-identified.

Security

We use technical and organisational measures — including encrypted connections and access controls — to protect your information against loss, misuse and unauthorised access.
